Ask the Expert: Mitel Bulk User Provisioning

The “BUP” is a tool that allows administrators to import a comma separated value (.CSV) file and LDAP Data Interchange Format (LDIF) file of entries into the MiCollab user and services database. For purposes of this article only the .CSV file will be discussed.
When done correctly, Bulk User Provisioning saves hours on building system users and their devices. If you do not carefully plan for license allocation and devices the advantages of Bulk User Provisioning will be severely hindered. It is important to note that the appropriate network element data sharing must be setup prior to the data import. Since the Micollab server can be deployed across several Mitel PBX platforms please refer to the correct installation/administration guide for your Mitel call server. Additional steps must also be taken in the Mitel Border Gateway in the case of teleworker phones and the MiCollab Client.
This article assumes all appropriate configuration steps have been completed prior to the bulk user import. If a step is skipped the import will fail with various types of synchronization errors.
Creating User Templates
The key to a seamless BUP is in the MiCollab user templates.
It is here where you can design your user templates to allow for accurate allocation of licensing and features. You must build separate templates for each phone type and UCC license that the customer has purchased. Important questions to ask are; “which users get what type of phone and what features?” and “what user needs the MiCollab client, mailbox, teleworkers, etc.?” The customer doesn’t always know which licenses include what features so it’s imperative you know the licensing they have purchased. This is to ensure they get allocated to the correct templates and ultimately the correct users.
The user templates also allow for the different classes of service used (or will be used) in the corresponding call server. Once you build a user template the MiCollab server creates an associated user role.
Another advantage to Bulk User Provisioning is that data manipulation in the .CSV file can be done prior to the equipment being in service. Savvy Engineers know to keep a copy of the default BUP .CSV archived for future use. This allows project progress to be made regardless of shipping delays or out of box failure. If you have the customer data and the BUP, you can proceed with data entry.
Downloading the BUP
You can download the BUP CSV file from the Micollab server if you have it online or have access to one that matches (or is close) in firmware release to the one you are deploying. Log into the MiCollab server and go to Users and Services\Bulk User Provisioning\Download Example CSV. File
The .CSV can be input with the appropriate user data. Ideally you can request the data in the appropriate format from the customer. Remember this is all about saving time so you do not want to get the information from the customer and then have to manipulate it to fit the BUP .CSV format.
Once the fields have been completed the .CSV can be imported into the MiCollab server. The database checks for errors in the data fields such as incorrect email address, duplicate extensions or incorrect characters. These can be fixed directly from the queue screen.
Once all errors have been corrected simply check all user boxes and click save.
The corresponding user, MiCollab client, primary phone, secondary extensions such as cell phones, softphones, mailbox, teleworker and audio web conferencing are all built if such devices were specified in the User Template.
In the Mi Voice business call server platform, the user templates built in the Micollab server can also be associated with key templates built in the phone system. This has been a breakthrough in the painstaking task of programming buttons, something we all love (loathe), which usually brings progress to a halt.
The BUP is a great tool that allows for massive amounts of users to be imported in a fraction of the time if done manually one at a time. This saves not only time but ultimately on cost as well.
